Hello Briar Flyers! Please review these important logistics for Prelims (Friday, June 26) and Finals (Saturday, June 27).

Prelims & Finals Meet Schedule

📍Location: Briar Village Pool (13902 Piping Rock Lane)

Prelims: Friday, June 26^th and Saturday, June 27^th

Swimmer Check-In & Warm-Ups: 7:45 AM (Both Days)

Meet Start Time: 9:00 AM

🛑 BEFORE YOU LEAVE: All swimmers must check out directly with a Team Representative before leaving the meet.

MEET SCHEDULE

• 9:00 AM – Meet Begins
• 7:45 AM – Swimmer Check-In & Warm-Ups

• Keeping it clean: Thank you so much for helping us keep the facility clean by ensuring your area is cleared up at the end of each day.
• One-session meet; break after Event 36.
• Three-session meet; shift changes after Events 24 and 54.

🚨 Emergency Absences & Late Arrivals

Please Notify Us Immediately

• Cutoff Time: 8:30 AM. Unannounced late arrivals will be scratched from individual events and replaced in relays.
• Action Required: Contact a Team Representative immediately if your swimmer is running late or sick.
• Impact: No-shows impact up to six teammates. Advance notice allows us to use eligible alternates.

✅Swimmers – Upon Arrival & Attire

Arrival Check-In: Swimmers must check in with their coach upon arrival.

Arm Marking: Coaches will write events on dry skin using Sharpie before sunscreen.

Attire: Wear the Briar Flyers team shirt and team suit (or solid black/navy suit).

Team Area: Located along Piping Rock on the new synthetic grassy turf.

Team Setup: Families should bring chairs, tents for shade (optional). Please keep swimmers in our team area unless racing.

🚨Volunteer Procedures & Meetings

• Check-In: Report to a Team Rep before your shift begins to confirm coverage.
• Absences: Notify a Team Rep immediately if you cannot fill your shift.
• Replacements: If another team claims you are not needed, verify this with a Team Rep immediately.

⏱️ Meeting Times & Locations

• 8:15 AM: Auditors (Clubhouse)
• 8:20 AM: Judges & Referees (By the Starter)
• 8:20 AM: Timers (Timing end of the pool)
• 8:20 AM: Clerks & Runners (Inside the gazebo)
• 8:30 AM: Officials Meeting (Near the judging table)
• 8:40 AM: Timers & Judges Briefing (Listen for Starter's announcement)

📦 Equipment Process

• Morning Collection: Starter collects the starter system from the clubhouse. Head Judge and Head Timer collect their respective bins.
• Afternoon Return: These same key volunteers must return all items to the clubhouse in their original order.

⚠️Safety, Weather, & Conduct

• Baby Pool Rule: Absolutely no wading, playing, or dipping caps in the baby pool or shallow end.
• Deck Safety: No running. Stay out of taped-off or officials-only areas.
• Emergency Cooling Station: ❄️ An air-conditioned area is available inside the clubhouse for heat relief.
• Sportsmanship: Cheer for teammates and respect officials. Report issues to a Team Rep; do not engage.
• Weather Policy: Meets run rain or shine. Check the sportsYou app or listen to the starter for delays. Do not text Team Reps about weather updates.

🍔Concessions

• 💳 NEW FOR 2026: Debit and Credit Cards are now accepted!
• Cash also accepted
• Breakfast, lunch, snacks, drinks, and snow cones are available for purchase throughout the meet.

🎉Speeding Tickets

Swimmers beating personal best times earn “Speeding Tickets.” These tickets are entered into our end-of-season banquet raffle for gift cards and prizes recognizing improvement and dedication!

🚗Parking
Help us keep BV streets clear, safe, and respectful to our neighbors during the meet! Please carefully follow the parking guidelines below.

⛔ WHERE NOT TO PARK:

• No parking is permitted on the north or east sides of streets
• Please pay close attention to the north/east side parking rule on curved streets (see map)
• Do not block driveways, mailboxes, fire hydrants, intersections, or the bridge area

🅿️ WHERE TO PARK:

• Park only on the allowed side of the street (green lines on map) to maintain emergency vehicle access
• Overflow parking is available in the tennis court parking lot unless otherwise designated
• Note: The pool parking lot is reserved for Team Reps, Coaches and Head Volunteers only
• Carpooling is encouraged
